Billing and renewal
You pay for a panel from your wallet. You pay an advance when you order, you get one invoice at the end of each 30 days period, and the wallet pays it for you. This page shows each step and where to see it in your account.
The short version
- Wallet: you add funds first. The wallet pays the advance and every invoice.
- Advance: when you order a panel you pay $25. It is deducted from your first invoice, so it is not an extra cost.
- Period: a billing period is 30 days of open time. At the end of it you get one invoice.
- Usage invoice: the invoice is for the plan that matches the orders your panel received in that period. See pricing for the plans.
- Time to pay: you have 7 days to pay an invoice. Late payment is explained in Late payment and frozen panels.
Add funds to your wallet
Open Wallet in your account and choose Add funds. Pick a payment method and an amount. The page shows a preview with the fee, any bonus and the exact amount that will be credited, before you continue.
Some payment methods confirm by themselves. Others ask you to pay and then enter the reference of your payment; our team checks it and credits your wallet. Until then the top-up shows under Pending top-ups.
The wallet page also lists your history: top-ups, advances, invoice payments and refunds. Export CSV downloads the history. All amounts are in US dollars.
Wallet credits pay for panels and invoices. They are not a bank account and cannot be withdrawn. A wallet also has a maximum balance. If a payment would take you above it, the payment is not credited and our team contacts you.
The advance
When you order a panel, the wallet pays an advance of $25. You get an advance receipt under Invoices. It is a receipt only: it cannot be paid and it is not a second charge.
The advance is deducted from the first usage invoice of the panel. If that first period stays inside the first plan, the invoice total is 0.00 and the invoice counts as paid at once.
If the panel cannot be set up, the advance goes back to your wallet by itself. If you cancel the order before the panel is set up, it goes back as well.
Periods and usage invoices
A period starts when your panel is activated and lasts 30 days of open time. The next period starts the moment the last one ends. Time while the panel is frozen does not count, so the end of a period moves later by the frozen hours.
Arty invoices after the period, not before. Nothing is billed in the middle of a period. The invoice is the plan that matches the number of orders in that period. Every order counts, whatever its status: completed, canceled, refunded or failed. A drip-feed or subscription counts once.
Passing the limit of a plan never switches anything off. It only changes the price of that period's invoice.
Open Billing on your panel to see the periods with their real start and end, the plan and price of each, the orders counted, and an estimate for the running period ("If the period ended now"). The estimate is a guide. The invoice uses the signed count from your panel's server when the period ends.
If that count is not available in time, the invoice is issued as an estimate and marked as such. When the exact count arrives, the difference is corrected as a line on your next invoice. The estimated invoice itself never changes.
Automatic payment from your wallet
Each panel has the setting Pay my invoices from my wallet automatically. It is on by default for a new panel and you can change it per panel on your panels list.
With it on, the wallet pays an invoice as soon as the invoice is issued. If the balance is short, Arty tries again whenever you add funds. It never pays part of an invoice.
Turning it off does not cancel anything and does not stop the panel. Invoices are still issued and you still have 7 days to pay them. You pay them yourself from the invoice page.
You can always press Pay from my wallet on an invoice. It works whether automatic payment is on or off. If your wallet is short, the invoice page offers Top up and pay: when your payment arrives, Arty pays the invoice for you.
You get an e-mail when an invoice is issued. If your wallet cannot cover it, the e-mail says so. Reminders also go out 3 days and 1 day before an unpaid invoice is due.
Invoices and PDFs
Open Invoices in your account for one list of everything: advance receipts, usage invoices, final invoices, credit notes and corrections. Open an invoice to see its issue date, due date, the plan, the billed window, the orders counted and the lines you are charged for.
Use Download PDF on the invoice page for a PDF copy. An invoice never changes after it is issued. A mistake is fixed with a credit note or a correction, not by editing the invoice.
What is printed in the "billed to" block comes from Settings, Billing details: company name, tax or VAT number, address and an optional memo such as a purchase order number. Changes apply to invoices issued from then on. Old invoices keep what they had.
A credit note is returned to your wallet. It is not payable.
Renewal in practice
There is nothing to renew by hand. A panel keeps running from period to period as long as its invoices are paid. Keep enough balance in your wallet, leave automatic payment on, and each invoice is paid when it is issued.
When you want to stop, use cancel at the end of the period. See Cancel, reactivate and restore. Pricing details and the day counts are also on the billing page.
